**Job Description**

Overview: Neighborhood House Administrative Assistant is the main point of contact for the organization and must possess excellent customer service skills. They are seated at the main entrance, and play a vital role in presenting a positive and helpful presence to all stakeholders, assisting in vital administrative tasks, upkeep of donor files and records, collecting and entering data into systems, and tracking of statistics. **Duties And Responsibilities**

Primary Responsibilities:

Assist all clients and stakeholders as the enter the building to be connected to the appropriate person or program

Present all pertinent info about programs and processes to prospective and current families

Main point of contact for families enrolling children into services

Determine client fees based on sliding fee scale and present to clients

Receive and apply client payments

Handle sensitive information in a confidential manner

Manage visitor, and client login procedures and maintain accurate daily, monthly, annual statistics

Respond to all email, telephone and face to face enquiries

Manage staff appointments/calendars/room and equipment scheduling

Compile presentations and packets of a thoroughness and quality suitable for senior level audiences, including Executive leadership team and the Board of Directors.

Process donor payments and enter all information into database

Provide general administrative and clerical support including mail distribution, filing, copying, scanning, etc.

Responsible for maintenance of office equipment, supplies, inventory and organization

Provide Spanish translation services, written and verbal, as needed for organizational communication

Qualifications:

3+ years hands-on administrative experience

Software expertise including all Microsoft Office products and database management

Ability to analyze and revise operating practices to improve efficiency

Understanding of basic accounting

Detail oriented and comfortable working in a fast-paced office environment

Exceptional written and verbal communication skills in both English and Spanish

Superior organization skills and dedication to completing projects in a timely manner

Strong analytic skills, attention to detail and a commitment to excellence.

Energetic personality with commitment to effective communication across diverse populations.

Ability to provide excellent customer service in person and on the phone.

Must be able to pass a background check.

Spanish fluency required
